Privacy Policy

Academic Workflows operates the Academic Mail Organizer application and the academicworkflows.com website ("the Service"). References to "we," "us," or "our" refer to Academic Workflows.

Early access requests. When you submit your email address through our early access form, we collect that email address to communicate with you about product availability.

Usage of Academic Mail Organizer. Academic Mail Organizer runs as a Google Apps Script inside your own Google account. The app processes email data entirely within Google's infrastructure. Academic Workflows does not receive, collect, transmit, or store any email content, email metadata, or Gmail account information. See Section 4 for details.

Activity logs. Academic Mail Organizer writes a brief activity log (action taken, timestamp, count of threads processed) to Google's PropertiesService within your Google account. This log is stored inside your account, not on Academic Workflows servers.

We use the email address you provide only to:

• Send you early access invitations or product updates you requested
• Respond to support or compliance inquiries

We do not use your email address for advertising, sell it, or share it with third parties.

Academic Mail Organizer integrates with Gmail through the Google Apps Script platform. This integration is fundamentally different from most email tools:

• ✓The app runs as code inside your Google account, on Google's servers.
• ✓Email data is never transmitted to Academic Workflows servers.
• ✓Academic Workflows cannot access, read, or store your Gmail content.
• ✓Google OAuth permissions are limited to what is required for the app to function (searching, labeling, and archiving messages).
• ✓You can revoke access at any time through your Google Account settings (myaccount.google.com → Security → Third-party apps).

Academic Mail Organizer's use of Google user data complies with the Google API Services User Data Policy, including the Limited Use requirements.

Academic Workflows understands that school email environments are subject to FERPA (Family Educational Rights and Privacy Act). Because Academic Mail Organizer processes data entirely within your own Google account and does not transmit email data to our systems, we are not a "school official" with access to education records under FERPA.

If your district requires a Data Processing Agreement (DPA) before approving the app, contact us at hello@academicworkflows.com and we will work with you to complete one.

Early access email addresses are retained until you request removal or the early access program concludes.

Gmail data is not retained by Academic Workflows. Activity logs stored in your Google account's PropertiesService are retained within your account until you uninstall the app or delete them manually.

Our website may use standard analytics tools to understand visitor traffic (such as page views and referral sources). These tools use cookies or similar technologies. We do not use advertising cookies or cross-site tracking.

You may at any time:

• Request removal of your email address from our early access list
• Revoke Academic Mail Organizer's Google account access
• Request a copy of any personal data we hold about you

The Service is intended for use by educators and school administrators who are adults. We do not knowingly collect personal information from children under 13. Academic Mail Organizer does not access student accounts or student email.

We may update this Privacy Policy from time to time. When we do, we will revise the effective date at the top of this page. We encourage you to review this page periodically.
